Concordia Annual Summit

Sheraton Times Square  ·  New York, New York

The Project

The room that frames
the world stage.

The Concordia Annual Summit brings together heads of state, senior executives, and global NGO leaders for two days of high-level dialogue in New York City during UN General Assembly week. The 2021 summit was held at the Sheraton Times Square, and EventPro was brought in to build and dress the full visual environment: stage, scenic set, room drape, and furnishings.

The main stage was built from scratch: a multi-level platform with custom-finished fascia, a Concordia-branded lectern, and a full scenic surround framing the LED video wall. EventPro constructed the header structure, flanking side wings, and scenic accent columns around the screen, tying everything together so the stage read as one integrated environment rather than a screen dropped into a ballroom.

The room was dressed with full pipe and drape on all sides, masking the venue walls and creating a contained environment that held together from every camera angle. White panel armchairs were placed and dressed for main stage panel seating and breakout configurations. Printed graphics covered the full event footprint: the Concordia wordmark on the lectern, the city skyline graphic on the stage fascia, and session-specific step-and-repeat panels, all produced and installed by EventPro. The print scope extended into the foyer as well, where EventPro produced the Concordia step-and-repeat backdrop for the book signing and guest activations outside the main ballroom.

How It Was Built

Production elements and
scenic construction

01
Stage Build
EventPro built the main stage platform from the floor up: a multi-level deck with custom-finished fascia, steps, and a Concordia-branded lectern positioned for both live address and broadcast camera framing. Stage dimensions and riser heights were engineered to the room layout and production requirements, with white carpet top and a clean finished edge visible from every seat in the ballroom.
02
LED Wall Surround and Scenic Set
EventPro built the full architectural frame around the LED video wall: a header structure, flanking side wings, and scenic orange accent columns that tied the screen into the broader stage design. The set construction turned a standalone screen into an integrated stage environment. The result read as a single designed backdrop rather than a panel dropped into a ballroom.
03
Graphics, Print, and Stage Identity
All printed elements across the event were produced and installed by EventPro: the Concordia wordmark on the lectern, the New York City skyline graphic on the stage fascia, and session-specific step-and-repeat panels positioned at each panel seating area. Each panel was printed, framed, and set to read cleanly on camera. The print scope extended into the foyer as well. EventPro produced and installed the Concordia step-and-repeat backdrop for the book signing and guest activations outside the main ballroom.
04
Room Environment — Drape and Furnishings
Full pipe and drape was installed to mask the venue walls on all sides, creating a contained room that held together from every camera angle. White panel armchairs were placed and dressed for main stage panel seating and breakout session configurations. Together, the furnishings and drape gave the room a clean, consistent aesthetic fitting the level of the event.
